VACANCY – GROUP HUMAN RESOURCES OFFICER

Position: Group Human Resources Officer

Location: Matsapha

Reporting Line: Executive Management

Purpose of the Position

The successful candidate will provide day-to-day HR support across the Group and assist Executive Management with the implementation of HR strategies and initiatives that contribute to the achievement of company objectives.

The role will support employee lifecycle processes, employee relations, performance management, recruitment, HR administration, KPI monitoring and reporting, and employee engagement, while ensuring that HR policies, processes and agreed initiatives are consistently implemented and followed through across the Group.

The successful candidate should be proactive, organised, analytical and able to work closely with management, employees and external HR consultants where required.

Key Responsibilities

1. Employee & Industrial Relations

  • Provide day-to-day support to management and employees on HR and employee relations matters.
  • Assist with grievances, disciplinary matters, investigations and dispute resolution.
  • Compile accurate reports and documentation relating to employee matters.
  • Identify emerging employee relations concerns and escalate significant matters to Executive Management where appropriate.
  • Support constructive communication and healthy working relationships between management and employees.

2. Disciplinary & Compliance Management

  • Coordinate disciplinary processes and hearings and ensure appropriate procedures are followed.
  • Assist management with disciplinary documentation and record keeping.
  • Ensure compliance with applicable labour legislation, company policies and internal disciplinary codes.
  • Liaise with external HR consultants on complex disciplinary or labour-related matters where required.
  • Maintain accurate and confidential employee records.

3. HR Strategy & Implementation

  • Support Executive Management in implementing the Group’s HR strategy, policies and initiatives.
  • Assist with the implementation and communication of HR policies and procedures across the Group.
  • Track agreed HR actions and initiatives and ensure appropriate follow-through.
  • Provide practical HR input, reports and information to support management decision-making.
  • Assist with organisational and employee-related projects as required.

4. Recruitment & Talent Management

  • Coordinate the end-to-end recruitment and selection process.
  • Conduct initial screening and participate in competency-based interviews with line management.
  • Coordinate employee onboarding and probation processes.
  • Assist with identifying training and development requirements.
  • Maintain accurate recruitment and employee records.

5. Performance Management & KPIs

  • Coordinate performance management processes across the Group.
  • Assist managers with the development and maintenance of job descriptions, employee and departmental KPIs and performance expectations.
  • Monitor and track agreed KPIs and provide regular reports on performance against these measures.
  • Coordinate probation reviews and performance evaluations and ensure these are completed within the required timelines.
  • Track performance-related actions and follow up with relevant managers to ensure completion.
  • Assist with performance improvement processes where required.
  • Identify recurring performance concerns or trends and escalate these to Executive Management.

6. Employee Engagement & Retention

  • Assist with the implementation of employee engagement, recognition, wellness and retention initiatives.
  • Maintain regular engagement with employees and assist in identifying workplace concerns or trends.
  • Support staff activities and initiatives aimed at strengthening workplace culture.
  • Assist Executive Management in implementing agreed actions arising from employee feedback and engagement initiatives.
  • Monitor relevant employee engagement and retention indicators and report on trends.

7. HR Administration, KPI Monitoring & Reporting

  • Maintain accurate HR systems, employee files and records across the Group.
  • Compile and submit structured monthly HR reports and dashboards to Executive Management.
  • Develop, maintain and track relevant HR Key Performance Indicators (KPIs) in consultation with Executive Management.
  • Monitor and report on key HR metrics including staff turnover, absenteeism, recruitment and vacancies, disciplinary matters, grievances, performance reviews, training, employee engagement and retention.
  • Identify trends, recurring concerns and areas requiring management attention from HR data.
  • Provide clear commentary and practical recommendations alongside HR reports rather than reporting statistics in isolation.
  • Maintain an HR action tracker, including agreed actions, responsible persons, deadlines and progress.
  • Follow up on outstanding HR actions and report on areas where agreed actions or deadlines have not been met.
  • Ensure performance reviews, probation assessments and other HR reporting requirements are completed within agreed timelines.
  • Prepare and review job descriptions and ensure alignment between roles, responsibilities and performance expectations.
  • Ensure HR documentation and processes are consistently maintained across the Group.

Qualifications & Experience

  • Degree in Human Resources Management, Industrial/Organisational Psychology or equivalent.
  • Sound understanding of applicable labour legislation and HR practices.
  • Minimum 2–3 years’ relevant HR experience.
  • Practical experience in a generalist HR role will be advantageous.
  • Experience within an industrial, manufacturing, trading or operational environment will be advantageous.
  • Exposure to employee relations, recruitment, performance management, KPI monitoring and HR reporting.
